Studio Welcome System

$22.00

Everything you need to take a private music student from first inquiry to first paid lesson: 11 coordinated documents delivered as 31 files, including 9 editable Word documents, 1 editable spreadsheet, and print-ready US Letter and A4 PDFs. Instant ZIP download after payment. No Canva, subscription, or shipping.

Every teacher who takes private students runs the same sequence. An inquiry arrives. You reply. They fill something in. You meet. You decide. They enroll. They turn up.

Most of us rebuild that sequence from scratch every single time.

This is that sequence, already built — eleven documents for private music teachers, in the order you use them, from a stranger's first message to a student who has paid for a first lesson.

What does not exist anywhere else

The pieces exist all over the internet. A policy on one blog, an intake form on another, a contract somewhere else. What does not exist is the assembly — the part where they match each other, follow one another, and tell you which one comes next.

You are not buying templates. You are buying the weekend you would have spent collecting and matching them.

The eleven documents

Your workflow — behind the scenes, no family sees these:

  • Email and Message Scripts — 13 messages covering every point in the sequence
  • New Student Inquiry Form — what you need before deciding whether to meet
  • Interview Lesson Plan — a timed plan for the trial lesson, segment by segment
  • Interview Lesson Evaluation — what you observed, recorded while it is fresh
  • Inquiry Tracker — a spreadsheet showing who is waiting and what you owe them

The family's welcome packet — what you send, in your studio's name:

  • Welcome Letter
  • Studio Information Sheet — the one page they keep on the fridge
  • Studio Policy — how your studio runs, in plain language
  • Enrollment Form — with a separate and optional photo permission
  • First Lesson Preparation — what to bring and how to arrive ready

Plus a Start Here guide that puts them in order and tells you exactly what to personalize.

The scripts most templates leave out

Eight of the thirteen messages cover the awkward moments — the ones that are hardest to write from scratch:

  • Declining kindly, before you meet, with a referral
  • Declining after the trial lesson without it being about the child
  • The waitlist reply when you are full, and again after the trial lesson
  • The nudge when a family goes quiet
  • The nudge when the intake form never comes back
  • The nudge when enrollment forms do not come back
  • The gracious close when they choose someone else

How it works

  1. Answer seven questions in the Start Here guide — your rate, lesson length, cancellation notice. They appear in several documents, so settling them once keeps everything consistent.
  2. Replace the highlighted placeholders with your studio's details.
  3. Keep the scripts somewhere you can reach in thirty seconds.

About thirty minutes, once. After that the next inquiry that arrives is already handled.

What you receive — 31 files, one download

  • 10 print-ready PDFs in US Letter
  • The same 10 in A4 — composed for A4, not one size stretched to fit the other
  • 9 editable documents in standard Word format
  • 1 tracker in standard spreadsheet format
  • 1 read-me file explaining the folders and where to start

What you need to open them

No Canva. Nothing to sign up for, no free trial, no subscription. The editable files are standard Word and spreadsheet formats with no macros, no locked fields and no design software involved.

The editable files are set in Arial, which both Windows and Mac include as standard. The print-ready PDFs are separate and print exactly as designed.

Nothing depends on color to be understood, so a black and white home printer is enough.

Who it is for

Private music teachers who teach one to one — piano first, but the wording works for voice, guitar, strings and winds. Useful whether you have eight students or thirty, and especially if you are still deciding how your studio should run.

Who it is not for

  • Classroom music teachers in a school — this is written for a private practice you run yourself.
  • Anyone looking for scheduling, invoicing or payment processing. That is what studio software does well, and this deliberately does not duplicate it.
  • Anyone who wants a Canva template to restyle. These are designed documents, not a design project.

Instant digital download

This is a digital product. Nothing is shipped and there is no physical item. Your download link is emailed to you as soon as payment clears, and it is also on your order confirmation page. The download is a zip file, which is easiest to open on a computer.

How you may use these

Personalize them, print them as often as you like, and use them with your own students and families for as long as you are teaching — including in a studio with more than one teacher, if it is yours.

Please do not resell, share or redistribute the files, or sell them on as templates or printables of your own.

If something goes wrong

Message me and say which file and what happens when you open it. I usually reply within one business day, and I will either send a working file or refund you. Please get in touch within 30 days of purchase. A file that does not open is my problem, not yours.

Please note

These documents are administrative and informational, written to help you run a teaching studio. They are not legal advice, and requirements differ from place to place. Please review the studio policy and enrollment form against whatever applies where you teach.

Every page in the photographs is a real render of a real file. If it is in the pictures, it is in the download.
